Here’s a 7-Step Guide to Creating and Executing Mailchimp Campaigns directly from Dynamics 365 CRM:
Step 1: Preparation
Make sure your Dynamics 365 CRM is connected to Mailchimp and Marketing4Dynamics is set up before starting a campaign.
Step 2: Create a Campaign
Option 1: From “Setup” Entity
- Go to Setup.
- Navigate to Sync Campaign and click Manage.
- Click + New Campaign to start creating your campaign.
Option 2: From Campaign Entity
- Go to the Marketing tab in the sidebar.
- Click Campaigns and then click New to create a new campaign record.
Step 3: Fill in Campaign Details
In the campaign form, complete the required fields.
Step 4: Define Campaign Content
Choose how to design your email content:
- Email Template: Use a pre-approved template from Mailchimp.
- Email Body: Create custom content for emails with rich text formatting and dynamic Mailchimp merge tags to fit your campaign needs.
Click Save to save your campaign content. It will automatically get synced with MailChimp.
You can create or modify campaign content at any point in the journey before sending or scheduling it.
Step 5: Save and Preview Your Campaign
1. Sync Campaign:
- Click the Marketing4Dynamics button in the ribbon bar and select Sync Now.
- The campaign status changes to Draft, and it syncs with Mailchimp.
2. Preview Campaign:
- Use the Preview button under Marketing4Dynamics Actions to review the email layout and content.
3. Test Email:
- Send a test email using the Send Test Mail button to ensure accuracy.
Step 6: Schedule or Send Your Campaign
1. Send Now:
- Select Send Now for immediate execution.
- Set the Sync Duration (1–365 days) to track campaign activities.
- Click the save button to execute the campaign.
2. Schedule:
- Select Schedule to set a future date and time.
- Define the Sync Duration and click save to confirm scheduling.
The campaign status will be updated to “Scheduled” in Dynamics 365 CRM and Mailchimp.
Note that, The Send Time will be available only after executing “Sync Now” and when the campaign status changes from New to Draft.
Step 7: Track and Analyze Performance
- After sending, click Sync Now to update campaign activities in your CRM.
- Navigate to the Statistics tab to view metrics like open rates, click-through rates, and engagement levels.
- Use these insights to optimize future campaigns and improve ROI.
