Inogic has enhanced its Attach2Dynamics app with new capabilities to improve file management for CRM users. Known as a trusted, widely-used app in the industry, Attach2Dynamics streamlines file and storage management by integrating Dynamics 365 CRM with cost-effective cloud storage options like SharePoint, Azure Blob, and Dropbox. This app provides a range of essential features, including an intuitive file management interface, real-time migration of CRM attachments to cloud storage to reduce CRM storage use, email migration, and custom security templates for secure access and compliance with CRM and SharePoint.
However, the real challenge with the current workflow is that when users re-upload the same file with modified content, the system adds random numbers or characters to the file name as a suffix, like “sample.txt_234536476” or “sample.txt_456787686,” to distinguish it from previous versions. Users often have to rename files manually each time to maintain proper version control. While this technically distinguishes files, but it makes it difficult to identify the correct version without confusion.
Now, Attach2Dynamics takes its step further with file versioning, allowing users to easily track and retrieve different versions of documents for smoother document management and collaboration.
What is File Versioning?
File versioning is a functionality that saves and tracks different versions of a file over time. This allows users to keep a record of all changes, making it easy to access, restore, or compare earlier versions of the file when needed.
With the new file versioning in Attach2Dynamics, you can now store updated files systematically without needing to rename them. To use this capability, simply keep the “Override File” option unchecked. With this setting, each time a file is uploaded, it will be saved as a new version rather than overwriting the existing one.
When this option is enabled, each time a user uploads a file, it will automatically save as a new version with an assigned version number, as illustrated below.
The next step involves capturing the file’s modification date when migrating from CRM to cloud storage. With Attach2Dynamics, you have the flexibility to choose whether to display the original upload date or to update the date each time the file is modified.
To enable this, simply activate the “Preserve Note Modified On” parameter under Entity configuration. When set to “Yes,” it will display the latest file modification date. If set to “No,” it will retain the original file migration date.
In summary, retrieving the correct file version by the exact modification date is now hassle-free. With Attach2Dynamics, Inogic has enhanced file management capabilities, offering a seamless experience in document management within CRM and cloud storage integration.
