The authenticated user’s name will always appear in the “Modified By” column in SharePoint. It also helps maintain consistency in identity representation, no matter who performs the actions in the CRM system.
For Example, Peter John, an authenticated CRM user, requires his name to consistently appear in the “Modified By” column for privacy reasons. He enables the feature by navigating to the Entity Configuration section in your CRM, going to the General section, locating the “Always Folder Creation Under Authenticated User” option, and setting it to Yes.
Now, when Megan Bowen, a CRM user under Peter John’s authenticated account, creates a new record in the Account entity and clicks the Attach2Dynamics button, a folder named “Megan Industries” is created and synced to SharePoint. However, because the feature is enabled, the “Modified By” column in SharePoint displays Peter John instead of Megan Bowen.
If the same feature is set to No, the “Modified By” column will reflect the name of the actual user who performed the action. For example, when Megan Bowen creates a record named “Alex Industries” and clicks Attach2Dynamics, the synced folder in SharePoint will display Megan Bowen as the modifier.
